Moving from spreadsheets to Worxley
Your customer data is probably spread across a few spreadsheets and an old CRM export. Here's how to clean it, map it, test it and move it — without breaking anything you can't undo.

Why the move is worth doing carefully
A migration is the one moment you can fix years of messy data in a single pass. Rush it and you carry the mess into the new system — duplicate accounts, deals without owners, picklists with five spellings of the same thing. Take a day to prepare and the team starts in Worxley with records they trust, which is what decides whether they keep using it.
Your migration, step by step
The first two steps happen in your spreadsheets. The rest happen in Worxley's Data migration, which checks everything before it writes anything.
Take stock of what you have
List every sheet and export you'd bring over and what each holds — accounts, contacts, leads, deals, products, tasks, notes or meetings. Decide what's worth keeping.
Tidy the sheets first
Give every sheet a single header row, one record per row and one kind of record per sheet. Add the owner's email to each row so records land with the right person.
Upload your files
In Configuration → Organization → Data migration, choose where the data comes from — a HubSpot, Zoho CRM, Salesforce or Pipedrive export, or any spreadsheet — and upload your CSV or Excel files.
Step by step in the Help CenterMatch columns, values and owners
Match each column to a Worxley field, match picklist values and stages to your options, and match owners by email or name. Anything without a home can become a new field.
Step by step in the Help CenterRun the check before you migrate
Check data shows what will be created, what will be updated and which rows have problems, with the reason for each. Nothing is written until you start the migration.
Step by step in the Help CenterMigrate, then spot-check
Start the migration, then open a few records you know well and check them. If something's wrong, the whole migration can be undone for 30 days.

Where migrations go wrong
Each of these is easy to avoid before you start and painful to fix after.
One giant sheet for everything
Accounts, contacts and deals mixed in one sheet are hard to map. Split them into a sheet per kind of record first.
Records without owners
Rows with no owner all land with the default owner. Add each owner's email before you upload.
Bringing everything, just in case
Ten-year-old dead leads clutter search and reports from day one. Leave behind what nobody will ever open.
Skipping the check
Always read the problem rows before you migrate. Ten minutes there saves hours of clean-up afterwards.
Your pre-migration checklist
Have these ready and the migration itself takes minutes.
What Worxley gives you for this
Data migration is built into Worxley, so you don't need a consultant or a separate tool to move in.
- One migration for many records
- Accounts, contacts, leads, deals, products, tasks, notes, meetings and custom records in a single run.
- A full check first
- See what will be created and updated, and download the rows with problems, before anything is saved.
- Safe with existing data
- Choose whether records already in Worxley are updated or left alone; repeated rows are merged.
- Undo for 30 days
- Created records are removed and updated ones restored, if you need to start again.
FAQ
CSV and Excel (.xlsx) files — up to 10 files of 25 MB each, and 50,000 rows per migration. Older .xls files need to be resaved as .xlsx first.
Yes. Export your data from HubSpot, Zoho CRM, Salesforce or Pipedrive and choose that source in Data migration — or pick Another spreadsheet for anything else. It works from files, not a live connection to the old system.
You choose: update them or leave them. Records are matched by their ID in the old system, or by email; accounts also match by exact name and products by SKU.
Not yet. Data migration moves records and their fields. Keep your original export for files and email history.
